Metadata concept: document types, tags, and fields
The metadata concept in SimpleDMS reduces manual filing work and improves how quickly documents can be found later.
Instead of forcing every document into one "correct" folder path, each document is described by document type, tags, and fields. This creates clear structure without becoming rigid.
Why this helps in daily work
With metadata, you no longer need to decide between several possible folder locations for the same document. A document can be found from multiple angles, for example by company, project, year, or status.
This is especially helpful for documents that would otherwise need duplicates in classic folder structures.
How the building blocks work together
Document types define the frame. They specify which attributes matter for a document class, such as "Invoice", "Contract", or "Quote".
Tags provide flexible categorization and context without a strict folder logic.
Fields store structured values such as date, amount, or reference number. This enables precise filtering.
Together, these elements support faster and more consistent filing. Similar documents are captured in the same way and remain easy to retrieve later.
